How to Create and use Outlook Express Templates

If you regularly send a standard email to which you need to add a few basic lines, how do you make it easier? The answer is to use an email template.

If you look around in Outlook Express you wont find a create email template button! So how do you do it?

There are two ways to create Outlook Express templates and here we will look at both of them.

 

1. Create a template using Outlook Express Stationary

Outlook Express Stationary is in fact a template! Therefore all you need to do is create a new piece of stationary to use as your template. There are many ways to create your own stationary and two of the easiest ways are covered in the following articles.

2. Create an email and save it as a .eml file

This is a much better method for creating templates as it allows you to configure other message properties such as adding attachments and recipients.

To illustrate this we are going to pretend that we are an accountant for a company and need to send all the employees a reminder to submit their expense claims form. We will also send them a blank form if they need one. The only thing we need to change each month is the submission date. To accomplish this proceed as follows:

1. Open Outlook Express and select new mail (or create mail -outlook express 6).

2 Type in the text you want and leave space for the date (here shown marked in red). Select the users and add the attachment. The mail appears below.

3. Instead of sending the mail click file>save as and save as an .eml file in the appropriate directory and its finished.

4. To use the template just go the the template directory and double click the file (shown as mail envelope). The message opens and you can insert the correct date and then click send to send the message.
